Purchasing/Administrative Assistant

Hodson Bay Group are currently recruiting a part-time purchasing assistant for their 153-bedroomed, 4* Galway Bay Hotel located on the Salthill Promenade just outside Galway City.
The candidate will support the accounts and purchasing department. This is a varied role which will allow the candidate to work along with several different departments across the hotel, working primarily with the purchasing manager with the opportunity to grow and develop within the hotel.

This is an entry level position - 32-39 hours per week.
Responsibilities will include:
- Preparation of purchase orders for food and beverage, consumables and overheads in line with stock on hand and business needs using the hotels procurement system.
- Key user of the hotel's procurement tool (Procure Wizard)
- Accepting and checking deliveries on a daily basis
- Matching deliveries with purchase order raised and liaising with suppliers on any discrepancies
- Work with the Purchasing Manager to ensure proper security and distribution of deliveries within the hotel.
- Monitor stock levels to ensure adequate supply for operational needs.
- Help with stock counts and maintain accurate records.
- Manage stock rooms by organising and rotating stock as necessary.
- Ensure Health and Safety standards are complied with.
- Ensure security and safety protocols are followed in Hotel Car Park/Delivery areas.
- Stationery management in the hotel.
- Supporting the accounts department with various spreadsheet/ data input analysis and other ad hoc duties.
Skills & Experience
- Fluent level of both written and spoken English is essential.
- Basic level of Microsoft Office required
- Excellent organisation and interpersonal skills.
- Must be able to work on own initiative.
- Good communication skills.
- Attention to detail
