Hours per week: 35 hours per week, Monday to Friday (occasional evening and weekend work)

Working closely with the Deputy Executive Director for Assessment and the Programme Executive, this role will provide full administrativesupportinthedeliveryofexaminationmodulestoanexpandingcandidatebase,inaddition to the provision of quality administrative support to assigned international projects. The role is in two parts:
1. Exams
The job holder will provide administrative supporttodeliverinallareasofexaminationrelatedtoMembershipoftheIrishCollegeofGeneral Practitioners (MICGP), including examination modules and Membership via other routes. At this time, therearethreeMICGPmodules;theCoreKnowledgeTest(CKT),theModifiedEssayQuestion(MEQ), and the Clinical Competency Test (CCT), delivered both in Ireland and Malaysia. There are currently between oneandfivesittingsofeachmoduleanditisanticipatedthatincreaseddemandwillrequireatleastdouble the number of sittings of ongoing exam modules within the next four years.
2.International Medical Training Programmes
The aspect will support the administration around the development and delivery of the International MedicalGraduateTrainingProgrammes,currentlydeliveredinIreland andMalaysia,and other projects as they arise.
KeyResultAreas (KRA’s)
1. Administer the coordination of all assigned stages of the MICGP examination application process and manage communications with exam candidates.
2. Prepare and deliver exam candidate learning and briefing materials via webinars online learning platforms.
3. Support Examiner panel and Exam Subcommittee in the communication of key dates, organisation of exam events and meetings, drafting and circulation of meeting minutes.
4. Support the delivery of all written and clinical exams in line with approved processes, procedures and policies, including generation of exam result reports for analysis and communication of exam results to candidates.
5. Update MICGP Exams website pages and Moodle course authoring and administration, including video editing of exam candidate/examiner resources.
6. Monitor the examinations department mailbox to ensure that all queries have been addressed or forwarded to the relevant department.
7. Prepare a weekly report to the Manager on pre and post exam module delivery and other relevant exam activities as required.
8. Coordinate delivery of the International Medical Graduate Training Programmes in Ireland, including administration of the recruitment and selection process, onboarding and ongoing support of Trainees, reporting to key stakeholders, etc.
9. Assist with the organisation and delivery of overseas International Training Programmes as required, including administration of the annual trainee rollover of the Malaysia Ireland Training Programme in Family Medicine (MInTFM) on the ICGP database.
10. Provide admin support with the development and delivery of other international projects as they arise.
11. Support the development and design of best practice processes, policies and procedures for delivery of quality within all departmental areas of responsibility.
12. Proactively participate in the Performance Management (Job Chats) process.
Person specification
Theidealcandidatewillhavethefollowingknowledge,skills,expertiseand competencies:
Qualifications experience
· A relevant third level qualification, or equivalent
· Minimum of 2 years’ experience in similar role, ideally that includes examinations and/or programme coordination within similar professional body
· Excellent interpersonal skills that include emotional intelligence, discretion, and experience liaising with representatives of external organisations
· Excellent communication skills, including spoken and written English
Technical competencies
· Must have a proven high level of ICT skills, including MS Office suite, with capacity to maximise technology to increase efficiencies.
· Must be at total ease with the use of a range of software suites, including those used for examination and programme management.
